Purpose-Built AI and Workflow Automation For Wealth Management Firms.

Wealthbox Workflow Automation for RIAs

Wealthbox already handles a lot inside the CRM, including its own meeting tools and native Outlook sync. Advisor Nexus becomes useful when a workflow needs to move beyond Wealthbox: coordinating custodians, planning, portfolio, documents, and Microsoft 365 into one firm-specific process, with the outcome written back to Wealthbox.

Diagram: people and work (advisors, operations, client service, compliance, and clients) use Microsoft 365 — Outlook, Teams, SharePoint, and calendar — for communication and documents. The Advisor Nexus workflow and intelligence layer sits between that and the firm's wealth-management systems (CRM, custodian, planning, portfolio, documents, and e-signature), providing workflow orchestration, deterministic automation, supervised AI, human approvals, and exception handling, following the operating model connect, gather context, interpret, act, review, deliver. Advisor Nexus sits between these systems rather than replacing them, and work can move in both directions.

In short

An RIA can extend Wealthbox into a broader workflow by connecting its contact, household, activity, and task data with the systems Wealthbox itself doesn't reach: custodians, planning software, portfolio platforms, and documents. Wealthbox already handles CRM activities, native meeting tools, and Outlook synchronization on its own. Advisor Nexus becomes valuable once a workflow needs to coordinate across those systems and Wealthbox in one firm-specific process, with human review for anything consequential before it's written back to the CRM.

Role in the RIA Tech Stack

What Wealthbox Handles, and What It Doesn't.

Wealthbox handles

  • Contact and household records
  • Activities, notes, and tasks
  • Client relationship history and workflow status
  • Its own meeting tools, including AI-generated meeting summaries, follow-up drafts, and task suggestions
  • Native two-way Outlook and Microsoft 365 synchronization for email and calendar

It does not replace

  • Custodian systems
  • Financial-planning software
  • Portfolio-management platforms
  • SharePoint, DocuSign, and other document or e-signature tools
  • Firm-specific service and approval workflows that span more than one system

Wealthbox already does a lot on its own, and Advisor Nexus isn't positioned as a replacement, reseller, or a way to recreate what Wealthbox already provides natively. Advisor Nexus becomes useful at the point a workflow needs to extend beyond Wealthbox: taking what Wealthbox already knows about a client or a meeting and coordinating the custodian, planning, portfolio, document, and Microsoft 365 steps that Wealthbox itself doesn't reach, then writing the result back to Wealthbox, which remains the CRM system of record.

Example Connected Workflows

What Connecting Wealthbox Looks Like in Practice.

Meeting Preparation Beyond the CRM

Wealthbox's own meeting tools already summarize recent CRM activity for a contact. Advisor Nexus extends that with planning, portfolio, and custodian context Wealthbox doesn't hold, delivered where the advisor actually works.

  1. Calendar event detected
  2. Household identified in Wealthbox
  3. Wealthbox's own recent-activity context gathered
  4. Planning, portfolio, and custodian context added from outside Wealthbox
  5. Combined brief prepared
  6. Advisor review (human review point)

Extending Meeting Follow-Up Beyond Wealthbox

Wealthbox's own AI Notetaker already drafts a meeting summary, a follow-up email, and task ideas. Advisor Nexus picks up from there, turning a flagged item into a workflow that spans systems Wealthbox doesn't touch, then writing the outcome back to the CRM.

  1. Meeting ends
  2. Wealthbox's own AI Notetaker produces a summary, follow-up draft, and task ideas
  3. A flagged item is identified as needing action outside Wealthbox (a distribution request, a planning update, a document)
  4. Custodian, planning, or document workflow initiated
  5. Advisor or employee review (human review point)
  6. Outcome recorded back to Wealthbox

Client-Service Request Triage

An inbound email becomes more than a Wealthbox task. Request context, routing, and any downstream document or custodian step are coordinated in one workflow, with a reviewed draft response.

  1. Client email arrives
  2. Likely client identified
  3. Wealthbox context retrieved
  4. Request classified (address change, document request, scheduling, and similar)
  5. Task created and routed in Wealthbox
  6. Downstream document or custodian step initiated if required
  7. Draft response prepared
  8. Human review (human review point)

Client Onboarding Across Systems

Wealthbox can hold the client record, but onboarding itself spans custodian, document, and communication systems Wealthbox doesn't run. Advisor Nexus coordinates that full sequence as one tracked process.

  1. Prospect reaches onboarding stage in Wealthbox
  2. Forms and document requirements initiated
  3. Tasks assigned
  4. Custodian and account-opening steps coordinated (human review point)
  5. Wealthbox status updated
  6. Follow-up communication prepared
  7. Completion tracked

CRM Data Maintenance & Task Automation

New information from a source outside Wealthbox (a custodian file, a planning update, another approved system) is checked against existing Wealthbox records before anything is applied.

  1. New information appears in an approved external source
  2. Compared against existing Wealthbox data
  3. Deterministic validation applied
  4. Conflicting or ambiguous information routed for review (human review point)
  5. Approved field, activity, or task update applied in Wealthbox

How It Works

How the Connection Works.

  • The Wealthbox API (OAuth 2.0 or a scoped personal access token), for supported contact, household, activity, task, and note data, subject to authentication and rate limits
  • Wealthbox Mail, Wealthbox's own native two-way Outlook and Microsoft 365 email sync, where enabled
  • Wealthbox's separate native two-way Outlook Calendar sync, where enabled independently of Wealthbox Mail
  • Microsoft Graph, for the Microsoft 365 side of a workflow
  • Scheduled synchronization for data that doesn't require an immediate write
  • Custom orchestration for logic beyond what a single connector covers

Connected Does Not Mean Uncontrolled

Every Connection Has a Boundary.

Deterministic automation

  • Detecting a new email, calendar event, or CRM change
  • Retrieving approved Wealthbox context
  • Creating and routing tasks
  • Notifications and status updates
  • Applying an approved field or activity update

Supervised AI

  • Interpreting an inbound client email
  • Identifying when a Wealthbox meeting summary or task idea needs action outside the CRM
  • Classifying a service request
  • Interpreting information from a non-Wealthbox source before it's applied to a CRM record
  • Drafting content for a downstream step, a custodian form, a planning note, a cross-system follow-up

Human authority

  • Confirming a client instruction
  • Approving a consequential Wealthbox update
  • Resolving conflicting or ambiguous data
  • Approving client-facing communication before it sends
  • Any compliance-sensitive or financial decision

Security & Limitations

What to Confirm Before You Rely on It.

  • What a workflow can read or write in Wealthbox depends on the firm's API access, user permissions, and plan.
  • The Wealthbox API is rate-limited; a workflow has to respect that rather than assuming unlimited request volume.
  • Wealthbox Mail (email sync) and Outlook Calendar sync are separate Wealthbox features, each enabled independently per user; automation built around either depends on that specific sync being active, not both.
  • We did not identify publicly documented Wealthbox webhook support in current developer documentation. This architecture is designed around the API and scheduled checks rather than assuming webhook-based push notifications are available; that could change as Wealthbox's platform evolves, and integration design should reflect what's actually available in the firm's environment at implementation time.
  • Every automated action is scoped to least-necessary access, logged, and subject to a defined exception path.
  • This is not a Wealthbox partnership, certification, or compliance guarantee. Firms remain responsible for their own regulatory and recordkeeping obligations.
